Mentor Code of Conduct

Unilearno mentors, our Academic Experts, are trusted with learners’ time, goals and wellbeing. This Mentor Code of Conduct sets the professional standards every mentor agrees to when joining Unilearno and throughout their time on the Platform. It protects learners, mentors and the value of guided learning.

  • Keep learners safe, especially those under 18: all contact stays on the Platform.
  • Be prepared, punctual, accurate and respectful in every session.
  • Represent your qualifications and experience honestly, and declare conflicts of interest.
  • Protect learner information under the Mentor Privacy & Confidentiality Agreement, and report concerns within 24 hours.

About this Code

This Code applies to every mentor and Academic Expert on Unilearno, and to applicants during onboarding. It forms part of the Academic Expert Agreement and works alongside our Academic Integrity Policy, Acceptable Use Policy, Mentor Privacy & Confidentiality Agreement and Terms of Use.

Mentors are independent professionals, not employees of Unilearno. You decide how best to teach, within the standards in this Code.

Academic integrity

Your role is to help learners understand, practise and improve. You must:

  • explain, demonstrate with different examples, question, give feedback and help learners plan their own work;
  • never write, complete, substantially edit or sit any assessed work, exam, quiz or test, or provide answers to the specific questions in a learner’s current assessment;
  • never take part in a session during a live or timed assessment, and end the session if you realise one is in progress;
  • politely refuse requests that cross the line, explain what you can help with instead, and report the request to Unilearno within 24 hours;
  • never advertise, offer or refer learners to contract cheating services, on or off the Platform;
  • respect learners’ institutional rules on external help and AI.

Breaching these rules leads to immediate suspension and may lead to removal, withholding of payment and reporting to authorities, as set out in the Academic Integrity Policy.

Safeguarding learners

Many Unilearno learners are young or vulnerable. You must:

  • keep all communication, sessions and payments on the Platform, and never ask for or share personal contact details or social media;
  • never contact a learner under 18 outside the Platform, meet them in person, or arrange sessions privately;
  • conduct sessions in a professional, quiet setting, appropriately dressed, with no other people visible or listening unless agreed;
  • keep your camera and language professional, and never share inappropriate content;
  • never record, photograph or screenshot learners without the consent of the learner (and their parent or guardian if under 18) and unless the Platform’s recording feature is used;
  • never give gifts, request favours, or form personal, romantic or financial relationships with learners;
  • allow a parent or guardian to observe sessions with younger learners if they wish;
  • report any safeguarding concern, such as a learner disclosing harm, risk to themselves, or abuse, to Unilearno immediately at [email protected] with the subject “Safeguarding”. If a learner is in immediate danger, contact the local emergency services first.

Where the law requires it for working with children in your location, you must hold and maintain the relevant check (for example, a Working with Children Check in Australia or an enhanced DBS check in the UK) and tell us if its status changes.

Professional standards

  • Be prepared. Review the learner’s requirement and materials before the session and plan how you will help.
  • Be punctual. Join on time. Experts who are more than 10 minutes late, cancel late or miss sessions affect learners, and repeated lateness leads to review (see the Cancellation Policy).
  • Be accurate. Teach only within your expertise. If a question is outside your knowledge, say so and help the learner find the right support.
  • Be clear. Explain at the learner’s level, check understanding and agree next steps at the end of each session.
  • Be reliable. Keep your availability calendar up to date and honour the sessions you accept.
  • Be responsive. Reply to booking requests and learner messages within 24 hours.

Respect and inclusion

You must treat every learner with dignity, patience and respect. You must not discriminate against, harass or demean anyone because of race, ethnicity, nationality, caste, religion, sex, gender identity, sexual orientation, disability, age or any other characteristic. Make reasonable adjustments for learners who need them, such as pacing, accessible materials or captions, and ask us if you need support.

Honesty about yourself

  • Describe your qualifications, experience, affiliations and subjects truthfully. Do not exaggerate or invent credentials.
  • Provide genuine documents for verification and tell us promptly if anything changes, including a change to your eligibility to work with children.
  • Do not claim to be affiliated with a learner’s institution, or to have inside knowledge of its assessments, unless this is true and you have declared it to us.
  • Never ask for or post fake reviews, or manipulate ratings.

Conflicts of interest

You must avoid situations where your personal interests could affect, or appear to affect, your judgement. In particular:

  • do not mentor a learner on a course or unit that you teach, assess, mark or examine at their institution;
  • declare to Unilearno any role at a learner’s institution, or any personal relationship with a learner, before accepting a session;
  • do not use Unilearno to recruit learners to your private services or another platform;
  • do not accept payment, gifts or benefits from learners outside the Platform.

If you are unsure whether something is a conflict, ask us before accepting the session.

Privacy and confidentiality

You must protect learners’ personal information and materials in line with the Mentor Privacy & Confidentiality Agreement. In short: use learner information only to deliver sessions, keep it secure, do not share it, do not put learner work into AI tools without consent, delete materials within 7 days of the session, and report any suspected data breach within 24 hours.

Responsible use of AI

You may use AI tools to prepare examples or teaching materials, provided you check them for accuracy. You must not use AI to produce assessed work for learners, present AI output as your own expertise without checking it, or upload learner work or personal information to AI tools without the learner’s consent.

Fees, payments and the Platform

  • Accept payment only through Unilearno, as set out in our Payment Policy.
  • Do not ask learners to pay extra, tip, or buy materials from you.
  • Do not move learners off the Platform during your relationship or for 12 months after your last session with them.

Public conduct and social media

Do not post about learners, sessions or learner work on social media or elsewhere, even anonymously, without written permission from the learner and Unilearno. When you mention Unilearno publicly, be accurate and do not make promises about grades or outcomes.

Reporting concerns

You must report to Unilearno, within 24 hours, any:

  • request to complete assessed work or other integrity concern;
  • safeguarding concern about a learner;
  • behaviour by a learner or another mentor that breaks our policies;
  • suspected data breach or security issue (within 24 hours);
  • change in your circumstances that affects your eligibility, such as criminal charges where disclosure is required by law.

We protect mentors who report concerns in good faith.

Quality and review

We review session feedback, ratings, complaints and other information to maintain quality. We may ask you to complete training, observe a session (with consent), or improve specific areas. Consistently low ratings or upheld complaints may lead to fewer matches, suspension or removal.

Breaches of this Code

Depending on the seriousness and frequency of a breach, we may:

  • give guidance or a formal warning;
  • require additional training;
  • pause your profile or withhold payouts for sessions under investigation;
  • suspend or permanently remove you from Unilearno;
  • report the matter to the police, a regulator, a child protection authority or, where appropriate and lawful, a professional body.

We will normally give you a chance to explain before making a final decision, unless immediate action is needed to protect learners.

By applying to join and by accepting sessions on Unilearno, I confirm that I have read, understood and agree to follow this Mentor Code of Conduct.
