Unilearno policy

Payment Policy

This Payment Policy explains how prices are set, what you pay and when, which payment methods we accept, how taxes, receipts and failed payments work, and how Academic Experts are paid. We aim to be clear and upfront: you always see the full price before you pay.

Applies to: Learners, parents and guardians who pay, and Academic Experts

In short

  • You see the full price, including any taxes and fees, before you confirm a booking.
  • Payment is taken when you book, through secure, PCI DSS-compliant payment providers. We never store your full card details.
  • Prices are shown in your local currency where available. Your bank may charge conversion fees.
  • Always pay through Unilearno. Paying an expert directly breaks our rules and removes your protection.
  • Questions about a charge? Contact us before raising a dispute with your bank, and we’ll fix it quickly.

About this policy

This policy applies to all payments made on Unilearno by learners, parents, guardians and anyone paying on a learner’s behalf (you), and to payouts to Academic Experts. It forms part of our Terms of Use and should be read with our Cancellation Policy, Refund Policy and Pre-Booking Order Policy.

How prices are set

Prices vary because support varies. The price of a session or package depends on:

  • the academic level, from school to research and professional learning;
  • the subject and how specialised it is;
  • the Academic Expert’s qualifications, experience and availability;
  • the session length and type of support, such as a concept session, exam preparation, research guidance or a capability programme;
  • how soon you need the session (short-notice sessions may cost more).

You can see indicative prices on our Pricing page. Before you pay, we show the exact price for your Booking. If your requirement needs a tailored plan, such as a session series or specialist support, we give you a written quote. Quotes are valid for 7 days unless they say otherwise.

What you pay and when

Type of bookingWhen you are charged
Single sessionIn full when you confirm the Booking
Session series or packageIn full when you buy it. Sessions must be used within 6 months unless the offer says otherwise
Pre-booking orderIn full when you place the order. If no expert is confirmed, you receive a full refund (see the Pre-Booking Order Policy)
Tailored programmesAs set out in your written quote, which may include instalments
Extended session (if both parties agree during a session)When you approve the extension on the Platform

When you start checkout, we hold your chosen time slot for 30 minutes. If payment is not completed in that time, the slot may be released.

Currencies and conversion

Where available, we show prices in your local currency, such as Australian dollars (AUD), British pounds (GBP), US dollars (USD), Canadian dollars (CAD), euros (EUR) or Indian rupees (INR). You are charged in the currency shown at checkout.

If you pay in a currency other than your card’s currency, your bank or card provider may apply exchange rates or foreign transaction fees. These are outside our control and are not refundable by us.

Taxes

Prices include, or are shown with, applicable taxes such as Goods and Services Tax (GST) or Value Added Tax (VAT), depending on where you are and the law that applies. The total, including taxes, is always shown before you pay. Tax invoices are available in your account.

Payment methods

Depending on your country, we accept:

  • debit and credit cards (such as Visa, Mastercard and American Express);
  • UPI, net banking and wallets for payments in India;
  • other secure methods shown at checkout, such as PayPal or Apple Pay, where available;
  • bank transfer or invoice for institutional and partner accounts, by agreement.

Payments are processed by trusted third-party payment providers that comply with the Payment Card Industry Data Security Standard (PCI DSS). Your card details go directly to the provider over an encrypted connection; we receive only limited information, such as the card type, last four digits and payment status. Some payments may need extra authentication from your bank, such as a one-time password.

Receipts and invoices

After every payment, we email a receipt to the account holder and make it available in your account. Receipts show the Booking details, the amount paid, taxes and the payment reference. If you need a tax invoice in a specific name, such as an employer or institution, contact [email protected] before or within 30 days of payment.

Promotions, credits and vouchers

  • Promotional codes and discounts are subject to their own terms, including expiry dates and eligibility, and cannot be exchanged for cash.
  • Only one promotion can be used per Booking unless the offer says otherwise.
  • Unilearno credit (for example, from a cancellation or a goodwill gesture) can be used for future Bookings within 12 months of being issued. Credit is not transferable and cannot be exchanged for cash unless the law requires.
  • If a discounted Booking is refunded, the refund is based on the amount you actually paid.

Failed or incomplete payments

If a payment fails, your Booking is not confirmed and the time slot may be released. We will tell you and let you try another method. If a payment for a package or instalment fails, we may pause unused sessions until the amount is paid. We never charge you for a session that was not confirmed.

If you notice a duplicate or incorrect charge, contact us at [email protected] with the payment reference. We will investigate and correct any error within 5–10 business days.

Pay only through Unilearno

All payments for sessions arranged through Unilearno must be made on the Platform. Paying an Academic Expert directly, or accepting a direct payment as an expert, breaks our Acceptable Use Policy and may lead to account closure. Payments made outside the Platform are not covered by our cancellation, refund, dispute or safeguarding protections.

Price changes

We and Academic Experts may change prices from time to time. Price changes do not affect Bookings you have already paid for, including unused sessions in a package.

Payment disputes and chargebacks

If you have a problem with a charge, please contact us first at [email protected]. Most issues can be resolved quickly through our Refund Policy.

If you raise a chargeback or payment dispute with your bank without contacting us, we may pause your account while the dispute is investigated. If a chargeback is found to be unjustified, for example for a session that was delivered as booked, we may recover the amount and any fees charged to us, and may close the account.

Fraud prevention

To protect you and the Platform, we and our payment providers use fraud checks, which may involve automated decisions about whether a payment can proceed. If a payment is declined for fraud reasons and you believe this is a mistake, contact us and we will review it. We may cancel Bookings paid for with stolen or unauthorised payment methods.

Payments to Academic Experts

Academic Experts are independent professionals. For each completed session, the expert earns the session fee less Unilearno’s service fee, as set out in their Academic Expert Agreement.

  • Payouts are made on the schedule in the Academic Expert Agreement, after a session is completed and any review period for complaints has passed.
  • Experts must provide accurate payout and tax details and are responsible for their own taxes, except where we must deduct tax by law.
  • We may hold or withhold payouts for sessions under investigation, for example for a complaint, a refund request or a suspected breach of the Academic Integrity Policy or Mentor Code of Conduct.
  • If a learner receives a refund for a session because of the expert’s actions, the expert’s payout for that session may be reduced or reversed.
