Privacy Policy

This Privacy Policy explains how UniLearno collects, uses, shares and protects personal information when you use Unilearno, and the choices and rights you have. We collect only what we need to help you learn, and we never sell your personal information.

  • We use it to match you with Academic Experts, run sessions, take payments, keep the platform safe and improve our service.
  • We share it only with the Academic Expert you work with, trusted service providers, and authorities where the law requires. We never sell it.
  • You can access, correct, delete or download your information, withdraw consent and object to marketing at any time.
  • Learners under 18 need a parent or guardian’s consent, and we give their information extra protection.

Who we are and what this policy covers

Unilearno (we, us) is operated by the company named on our Contact page, where you can also find our registered office address. We are responsible for your personal information as the data fiduciary under India’s Digital Personal Data Protection Act 2023, the controller under the UK and EU General Data Protection Regulation (GDPR), and the organisation accountable under Australia’s Privacy Act 1988 and Australian Privacy Principles, Canada’s PIPEDA and applicable US state privacy laws.

This policy applies to everyone whose personal information we handle through unilearno.com and related services, including:

  • learners at school, university, postgraduate, research or professional level;
  • parents and guardians who manage accounts or pay for sessions for learners under 18;
  • Academic Experts (mentors) and people who apply to join our network;
  • visitors to our website and people who contact us.

Academic Experts handle learner information on our behalf and must follow the Mentor Privacy & Confidentiality Agreement. Our use of cookies is explained in our Cookies Policy.

Information we collect

We collect personal information in three ways: directly from you, automatically when you use the Platform, and from third parties.

Information we collect automatically

  • Device and usage data: IP address, browser type, device type, operating system, pages viewed, links clicked, referring page, and the date and time of visits.
  • Session technical data: connection quality, join and leave times, and error logs, used to run sessions reliably and resolve disputes about attendance.

We do not record sessions by default. If a recording feature is offered, it will be used only with the consent of both the learner (or their parent or guardian) and the Academic Expert. Recordings are kept for 30 days unless needed longer to handle a complaint.

Information from others

  • Parents and guardians who create or manage an account for a learner.
  • Payment providers, who confirm whether a payment succeeded and help us prevent fraud.
  • Verification partners and referees, who help us confirm an Academic Expert’s identity, qualifications and suitability, where lawful.
  • Institutions or partners that arrange access to Unilearno for their learners, if applicable.

Information we do not want

Please do not share sensitive information we do not need, such as health information, religious or political beliefs, government identity numbers (unless we ask for verification), or passwords for your institution’s systems. Never share your login details for your university or school portal with anyone on the Platform.

How and why we use your information

We use personal information only for clear purposes, and only where we have a lawful reason to do so.

Matching, automation and AI

We use technology, including automated tools, to suggest Academic Experts who fit your subject, level, needs and availability. Suggestions are a starting point: you choose who to book, and our team reviews matches when needed. We do not make decisions that have legal or similarly significant effects on you based solely on automated processing.

Where we offer AI-assisted features (for example, session summaries or practice questions), we will tell you what they do and what information they use. We do not allow our AI providers to use your personal information or session materials to train their general models, and we use contractual and technical safeguards to protect it. Academic Experts must not upload learner materials to external AI tools without the learner’s consent.

When we share information

We share personal information only when needed, and never sell it or share it for cross-context behavioural advertising.

  • With your Academic Expert: the details needed for your session, such as your first name, level, subject, requirement and the materials you choose to share. Academic Experts see learners’ contact details only through the Platform.
  • With learners: an Academic Expert’s public profile (name, photo, qualifications, subjects, experience and ratings).
  • With parents and guardians: booking, payment and attendance information for learners under 18 whose accounts they manage.
  • With service providers who work for us under contract, such as cloud hosting, payment processing, video conferencing, email delivery, customer support, analytics and identity verification. They may use the information only to provide their service to us.
  • With professional advisers such as lawyers, accountants, auditors and insurers, under confidentiality.
  • With authorities where the law requires it, to respond to a valid legal request, or to protect someone’s safety, including reporting safeguarding concerns about a child.
  • In a business change: if we are involved in a merger, acquisition or sale of assets, information may transfer to the new owner, who must continue to protect it under this policy.

If your institution has arranged your access to Unilearno, we share only what our agreement with them allows, such as attendance, and we will tell you what that is. We do not share session content with your institution without your permission, unless the law requires it.

International transfers

We are based in India, and our team, Academic Experts and service providers may be located in other countries, including Australia, the UK, the EU, the US and Canada. When your information is transferred across borders, we protect it with:

  • transfers only to countries permitted under India’s DPDP Act;
  • for information from the UK or EU, adequacy decisions, the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses, as appropriate;
  • for information from Australia, reasonable steps to ensure overseas recipients handle it consistently with the Australian Privacy Principles;
  • contracts, access controls and security measures with every recipient.

You can ask us for a copy of the relevant safeguards.

We keep personal information only as long as we need it for the purposes in this policy, then delete or anonymise it.

How we protect information

We use technical and organisational measures designed to protect personal information, including:

  • encryption of data in transit (HTTPS/TLS) and at rest where supported;
  • access controls so staff and Academic Experts see only what they need;
  • secure, PCI DSS-compliant payment providers, so we never store full card numbers;
  • regular security reviews, logging and monitoring for unusual activity;
  • confidentiality obligations for staff, contractors and Academic Experts;
  • a process for responding to personal data breaches, including notifying you and regulators when the law requires.

No system is completely secure. Please use a strong, unique password and tell us straight away at [email protected] if you think your account has been compromised.

Children and young learners

Unilearno supports learners from school level upwards, so we take extra care with information about children.

  • Learners under 18 may use Unilearno only with the verifiable consent of a parent or guardian, as required by India’s DPDP Act and similar laws.
  • Learners under 13 may use Unilearno only through an account created and managed by a parent or guardian.
  • We do not use children’s information for behavioural monitoring, targeted advertising or profiling.
  • Academic Experts working with under-18 learners must follow safeguarding rules in the Mentor Code of Conduct, including keeping all contact on the Platform.

If you believe we have collected information from a child without proper consent, contact us and we will delete it.

Your rights and choices

Depending on where you live, you have some or all of these rights:

  • Access: ask for a copy of the personal information we hold about you and how we use it.
  • Correction: ask us to correct or complete inaccurate information. You can update most details in your account.
  • Deletion: ask us to delete your information, unless we need to keep it for a legal reason.
  • Portability: ask for your information in a commonly used, machine-readable format.
  • Withdraw consent: where we rely on consent, you can withdraw it at any time. This does not affect what we did before.
  • Object or restrict: object to processing based on legitimate interests, or ask us to limit how we use your information.
  • Opt out of marketing: use the unsubscribe link in any email or contact us.
  • Nominate: under India’s DPDP Act, nominate someone to exercise your rights if you die or become unable to.
  • Grievance redressal and complaints: raise a grievance with us and, if unresolved, complain to a regulator.

To exercise a right, email [email protected] with the subject “Privacy request”. We may need to verify your identity before acting. We respond within 30 days, or sooner where the law requires. We do not charge for reasonable requests and will never treat you differently for using your rights.

Marketing and communications

We send service messages (such as booking confirmations, reminders, receipts and important changes) because they are needed to run your account. We send marketing only where you have agreed or where the law allows, and every marketing email includes an unsubscribe link. We will not send marketing to learners under 18.

We use cookies and similar technologies to keep the website working, remember your preferences and, with your consent, understand how the website is used. Read the Cookies Policy for details and choices.

Changes to this policy

We may update this policy to reflect changes to our services or the law. We will post the new version here with a new “Last updated” date and, for significant changes, tell you by email or on the Platform before they take effect.
